Medical practices

See every industry

Good for the front desk. Not for the patient record.

The reception's WhatsApp in a shared inbox, with an owner per conversation and business hours. What it is not: a health system. Clinical data should not go in here, and we would rather say that before you subscribe.

  • Booking and confirmation in an inbox the team can see
  • Business hours answer outside opening times
  • Your last 90 days, imported

Is it right for you?

Not for anyone who needs clinical data held to medical-records standards

Unibox does not encrypt message bodies in a layer of its own, has no audit log on the plan we sell, and was neither built nor certified as a health system. If your obligations require tracking who read what, storing test results or recording clinical notes, you need an electronic patient record — and this is not it. What we do well here is the administrative half: booking, confirming, rescheduling, and leaving nobody without an answer.

What it does solve well

The administrative part, which is where most of the message volume actually is.

Rescheduling stops being a ringing phone

Every conversation has an owner and nobody reschedules the same patient twice. Whoever wrote at 11am does not wait until closing.

The price and insurance question has a ready answer

It is the message a practice receives most. One saved quick reply handles it, with a label so you know how many there were.

No-shows and empty slots become visible

Whoever cancelled returns labelled and snoozed. The “Never answered” tab shows who asked for an appointment and got nothing back.

Three administrative routines

All on the plan we sell today, and none of it involves clinical data.

Booking and confirming

The bulk of the volume, and the most repetitive part.

  • Quick replies with fees, insurers and the address
  • Label by practitioner straight from the row
  • Business hours answer when the practice is closed

Rescheduling and cancellations

An empty slot is the highest cost in the diary.

  • A rescheduling label and a snooze to the likely date
  • Confirm inside the existing thread, not as a blast
  • Custom fields for practitioner and appointment type

Nobody without an answer

The measure that actually matters at a front desk.

  • The “Never answered” tab shows who was left hanging
  • A reply timer returns to the pile what nobody picked up
  • The report shows average time to first reply

What Unibox does not do

Said here rather than discovered after you subscribe. It is the reason to believe the rest of this page.

No bulk sending

There is no blast, and there is a cap on how much leaves each number. That is a decision rather than a gap: blasting is the fastest way to lose your business's number.

It cannot message someone first

Our API replies inside a conversation that already exists and deliberately has no endpoint to open one. Every automation here starts after the person has messaged you.

Clinical data should not go in here

Do not write diagnoses, test results or clinical notes into Unibox's fields, and brief the team to treat the conversation as an administrative channel. We are the processor of whatever you put here, and the privacy policy describes exactly what we store and what we do not protect with an extra layer.

Roadmap — not live yet

Caio, our chief AI officer

He reads the conversation and writes the draft. You are the one who sends it.

Caio is being built, and this section exists to say what he will do rather than to imply he already does it. Nothing above on this page depends on him.

  • Drafts the reply with the customer's history to hand — you review and send
  • Reads “call me Tuesday” as a snooze and sets the return
  • Summarises a three-week thread for whoever just picked it up

The badge comes off the day he ships. Until then he is not a feature and he is not in the price.

Before you connect your number, read this

We connect by QR code, the way WhatsApp Web does — no Business API, no Meta verification, no waiting. The cost of that is real: WhatsApp's terms do not permit unofficial clients, and it may warn, restrict or ban a number that uses one. The risk is yours, it rises with volume, and it is why we cap sending and do not blast. The advice we would give a friend: connect the business's number, not the owner's personal phone.

What practices ask first

Are you compliant with health-data requirements?

We make no such claim. We hold no health certification, we do not encrypt message bodies in our own layer, and the audit log is not on the plan we sell. If your obligations require that, the honest answer is that we do not serve you today.

So what is it for in a practice?

The front desk: booking, confirming, rescheduling, answering fees and insurance, and leaving no message unanswered. That is most of the volume and the least of the risk.

Patients will send symptoms over WhatsApp anyway.

They will, and that is true with or without Unibox — the message is already on the reception's phone today. What we ask is that the team does not transcribe it into the system's fields and treats the channel as administrative.

Can it send automatic appointment reminders?

Not as a blast. Our API only replies inside a conversation that already exists, deliberately. The confirmation goes out in the same thread the appointment was made in.

If your problem is the front desk and not the record, connect it and see
