Terms of use
Last updated 29 September 2026
The short version
- Your conversations and contacts stay yours. We only process them to run the product.
- Connect only WhatsApp numbers you are entitled to use, and follow WhatsApp’s own rules.
- WhatsApp connects through an unofficial gateway. That carries a real risk to your number — read section 5 before connecting one you depend on.
- Cancel whenever. We delete your workspace within 7 days of you asking.
1.Agreeing to these terms
These terms are between you and Unibox Chat, a business based in Vancouver, British Columbia, Canada (“Unibox”, “we”). By creating an account you accept them. If you are signing up for an organisation, you confirm you are allowed to bind it.
You must be 18 or older. Unibox is a business tool and is not offered to consumers for personal use.
2.What the service is
Unibox brings your team’s WhatsApp conversations into one shared inbox, with a sales pipeline attached. We sync, store and display those conversations, and send messages back out on your instruction.
We are not the provider of WhatsApp. We are a client that connects to it for you, on your behalf and with your authorisation.
3.Your account
Keep your password to yourself and tell us promptly at [email protected] if you think an account has been compromised. You are responsible for what happens under your workspace, including what the people you invite do.
One person, one account. Sharing a single login across a team defeats conversation ownership and makes an audit trail meaningless.
4.Your content stays yours
You keep all rights to your messages, contacts and files. You grant us only the permission needed to operate the service: to store, transmit, index and display that content back to you and the people you have invited.
We do not use your content to train AI models — ours or anyone else’s — and we do not sell it or share it with advertisers. Where we act as a processor of personal data, the Privacy policy governs.
You are responsible for having a lawful basis to store the conversations you sync. The people who message your company did not sign up for Unibox; you decided to bring their messages here.
5.WhatsApp — read this before connecting a number
WhatsApp has its own terms. Connecting a number to Unibox does not change your relationship with WhatsApp, and you remain bound by its rules.
WhatsApp connects through a self-hosted gateway that pairs with WhatsApp the way the desktop app does. It is not the official WhatsApp Business API. This is what makes the feature affordable and instant to set up, and you should know what it costs you in risk: WhatsApp’s terms do not permit unofficial clients, and WhatsApp may warn, restrict or permanently ban a number that uses one. That risk is real, it is yours, and it rises with message volume and with how much of your sending looks automated.
Our advice, which we would give a friend: connect a business number you could afford to lose, not the personal number your customers have had for ten years. We cannot recover a banned number and we are not liable for one.
You confirm that you are entitled to use every number you connect, and that you are not using Unibox to send unsolicited bulk messages. We may suspend a workspace that does.
6.Acceptable use
Do not use Unibox to:
- send spam, or messages to people who have asked you to stop;
- harass, threaten, defraud or impersonate anyone;
- store or transmit malware;
- attempt to breach the service, other workspaces, or the limits of your plan — including probing for other tenants’ data;
- resell or white-label the service without a written agreement.
We may suspend or close a workspace that does any of these. Where the situation allows, we will tell you first.
7.Plans, trials and payment
New workspaces start a 14-day Starter trial, no card required. If you don’t subscribe, the workspace becomes limited until you do: one user, no pipeline, and conversation history older than 30 days stops being visible. The data is not deleted and comes back when you subscribe. Nothing is charged automatically at the end of a trial.
Subscriptions are billed per user, monthly or yearly, in advance, and renew automatically until you cancel. Prices are shown before you buy, in US dollars, or Brazilian reais if you are in Brazil — we do not bill in other currencies today, so your bank may apply its own conversion. Prices exclude any sales tax, VAT or similar charge that applies where you are.
Seat changes are prorated both ways: adding a user mid-cycle is charged pro rata, and removing one credits the unused part of that seat against your next invoice.
You can cancel at any time and keep access until the end of the period you have paid for. We do not refund the unused part of a paid period, monthly or yearly, except where the law requires it or where we have plainly failed to deliver the service.
If you pay yearly and cancel, your plan stays active until the end of the year you paid for and does not renew.
We may change prices with 30 days’ notice by email. If a change does not suit you, cancel before it takes effect.
8.Availability, and what we do not promise
We work to keep Unibox running and will tell you about planned maintenance where we can. We do not promise uninterrupted service, and we are honest that parts of it depend on third parties — WhatsApp above all — whose availability we do not control.
The service is provided as is. We do not warrant that it will be error-free, that a WhatsApp number will stay connected, or that every message will sync. Keep your own records of anything you cannot afford to lose.
We are not a system of record for legal or accounting purposes and should not be relied on as one.
9.Liability
Nothing here limits liability that cannot legally be limited — including for death or personal injury caused by negligence, or for fraud.
Otherwise, our total liability to you for any claim is capped at the fees you paid us in the 12 months before the claim arose. We are not liable for lost profits, lost business, lost data, or for WhatsApp restricting or banning your number.
10.Ending the agreement
You can close your workspace at any time by emailing [email protected] from the address you signed up with. There is no self-service button for this yet, and no export feature — if you want a copy of anything, ask in the same message and we will get it to you before we delete. On closure we delete the workspace and everything in it — messages, contacts, pipeline records and stored credentials — within 7 days, as described in the Privacy policy.
We may close an account for a serious or repeated breach of these terms, or if we stop offering the service. If we discontinue Unibox, we will give you at least 30 days to export your data and refund any period you have paid for but not used.
11.Changes to these terms
We may update these terms. For a material change we will email workspace owners at least 30 days before it takes effect. Continuing to use Unibox after that means you accept the new version; if you would rather not, cancel.
12.Law and disputes
These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada that apply there, and disputes go to the courts of British Columbia, sitting in Vancouver. If you are a business in another country, this does not remove protections your local law gives you where those cannot be contracted out.
